TERMS & CONDITIONS.

 

CANCELLATION POLICY

We hope that once you have made a booking with us you will be able to join us as planned but we understand that sometimes things change and injuries happen. In that case we work to these conditions;

 

Payment

Full payment is taken at the time of booking via online bank transfer.

This payment includes a non‐refundable £10 deposit.

 

Cancellation

If you cancel your booking more than 8 weeks before your course start date we will refund the full cost of your course minus the £10 deposit. If you cancel before 6 weeks of your course start date we will refund 50% of the remaining course balance once the deposit is taken. If you cancel less than 4 weeks from the start of your course we are unable to offer any refund.

 

Transfers

At any point you may transfer your booking to another person if you cannot attend yourself. Contact us to arrange the transfer by giving us the name and contact details of the new attendee.

 

Up to 2 weeks prior to your event, we can transfer your booking to another course/date or issue you a credit note if you are unable to attend. For residential courses, retreats and Winter Skills 101 courses unfortunately transfers and credit notes are not available within 4 weeks of the booked event (and standard Cancellation Policy applies).

 

During the 2 weeks before your course start date, we are unable to issue any course transfers or refunds.

Please note that our 'Covid Cancellation Policy' offering a full refund at any time no longer applies (from 2022).

 

Cancellation insurance

We recommend that you arrange your own cancellation insurance.

 

Cancellation by Girls on Hills

We will endeavour to ensure that your course/guided run goes ahead as planned. However, we

reserve the right to modify the content of a course due to prevailing weather or other conditions and will always try to offer a suitable alternative itinerary or location.

In the unlikely event of cancellation, a full refund will be offered.

 

INSURANCE

Girls on Hills’ company Professional Indemnity Insurance (PII) protects only the company ‘Girls on Hills Ltd’ and provides no protection for customers attending Girls on Hills courses in the event of accident or injury. Participants undertake these events at their own risk and we advise individuals to take out their own insurance to cover their participation, as you might for any sporting event or activity holiday. 

 

PRIVACY POLICY

This privacy policy sets out how we look after the data you give us.

For our visitors, this Privacy Policy explains what information we collect when you make a booking with us. It also explains what information we collect when you contact us to make an enquiry.

 

Making an enquiry:

We may need to collect details from you in order to answer your enquiry about our guided running events or for any guided hill/navigation day. The information that we need to hold is likely to include your name, contact details, information about your enquiry and/or booking and any additional information we may need to help meet your specific requirements. This takes the form of anything you have sent us by email, Facebook, Messenger or Instagram.

We will then use the information you provide to manage your enquiry and reply to your enquiry.

 

Making a booking:

We need to collect details from you in order to make a booking on one of our guided running events or for any guided hill/navigation day with Girls on Hills.

The information that we need to hold is likely to include your name, contact details, basic medical information about your health and fitness as relates to the event you are signing up for and any additional information we may need to help meet your specific requirements. The information you provide will be used to enable us to plan your event/guided day.

In order to provide your booking to you we will only share your information with members of Girls on Hills and any third parties who we may need to work with to deliver services (freelance guides).

 

*Payments are processed through online/BACS transfer, so your details are not retained by Girls on Hills, only by the bank.

 

What is not included in our Privacy Policy?

This privacy policy relates to customers of Girls on Hills. It does not relate to employees or third

parties who we may need to work with to deliver our services (such as freelance guides).

This privacy policy does not cover other organisations which we use to advertise our products and services.

Our website links to websites and social media belonging to other organisations. This privacy policy does not apply to how those other organisations use your data, so please make sure you check their privacy policies before giving them your personal information.

We collect website usage information for www.girlsonhills.com using “cookies”. Cookies are not included in this Privacy Policy.

 

Photographs and videos

In the Girls on hills booking form, we request permission to use any photographs or videos featuring your image that are taken during Girls on Hills events/guided days. Your signature gives us your permission to make said images available online by posting on Facebook, Instagram, Girls on Hills website and in adverts (digital or print) to promote Girls on Hills products and services. Where you have already given us your consent to hold and use photographs/videos of yourself (attending a course/event/guided day) but wish to revoke this, then you only need to contact us to ask us to stop storing and using these images and/or to delete (to the extent possible) all of these.

 

Consent & Contract

We will delete data in the form of electronic booking forms from any hardware owned by Girls on Hills one month after the event for which you have booked/participated in. These forms however, will be retained online within sender and recipient email account providers.

Where you give your consent for us to hold and process your data (either by making an enquiry or booking with us) then you only need to contact us to inform us to ask us to stop processing your data and/or to delete (to the extent possible) all your personal data.

Please note that we may disclose your personal data (about our customers) without your permission to the extent that we are required to do so by law or regulation or in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights.
